Storage Facility for Boxed University Records

Brown University’s records storage is available to University departments at the storage facility located at 10 Park Lane in Providence. Below is the process for requesting records box storage, to access the facility to view stored records.

 

The storage facility at 10 Park Lane has over 18,500 square feet of records storage space and over 24,000 square feet for library storage.  The building is secure, controlled by card access, dry, clean, well lighted, and fire protected. Each storage shelf is identified by a designated aisle and row and level.

Transfer Records to Offsite Storage

  • All Brown University departments may use the 10 Park Lane facility for storage of boxed University records.
  • All records must be be boxed, in order to accommodate the storage space at 10 Park Lane, boxes must be of standard storage box size: 13” wide x 15” deep x 11” high. 
  • Records being sent to Offsite Storage should be inactive University records that must be retained until the end of their retention period.
  • Complete a box inventory of what you would like to store at 10 Park Lane. The inventory should include: Box Number, Box Content Record Type, Destruction Date,  Department Name and Contact Information.
  • Email a copy of the completed box inventory the Records Manager for approval.
  • The Records Manager will review the inventory and return it with an assigned  transfer number.
  • All boxes must have a Transfer Number, Box Number, Department Name, Contact Name, Contact Number and a Destruction Date. This information must be written or attached to the front and back of the box.
  • Submit a service request for Office of Facilities Management to pick-up the boxes for storage.
    • There is a flat rate fee of $75.00 for the pickup of 1 - 15 boxes. Each additional box is $5.00
