Exporting from Alma


  1. Create a set of the records you wish to export (see Searching and Sets)
  2. Navigate to Admin > Manage Sets and Jobs > Run a Job
  3. Select Export job:
    • Export Bibliographic records - Needs to be an 'All Titles' or 'Physical titles' set
    • Export Authority records - Needs to be an 'Authorities' set
    • Export Electronic portfolios - Needs to be an 'All Titles' or 'Electronic portfolios' set
    • Export Physical items - Needs to be a 'Physical items' or 'Physical titles' set
  4. Select your set
  5. Enter Task Parameters:
    • Physical Format - set to 'Binary' to receive a mrc file
    • Output format - MARC21 Bibliographic
    • Number of records in file - Select 'One File' unless you would like multiple files limited to specific record amounts
    • Export into folder - Select 'private' for you private folder, or 'institution' if you would like this export to be available to multiple users.

  6. Review and Confirm
  7. Alma should automatically bring you to 'Monitor Jobs'
    • If not you can navigate to it by Admin > Manage Sets and Jobs > Monitor Jobs
  8. If the job is still running, wait until complete
  9. Select History tab to see completed jobs
  10. Click on your job's name to see the job report
  11. Select 'Link to Exported records'
  12. Under the '...' button, select 'download'
  13. Alternatively:
    • navigate to Admin > Manage Sets and Jobs > Manage Exports
    • Find your export job under either the private or institution tab depending on which folder you sent it to
    • Under the '...' button, select 'view files'
    • After opening the file, under the "..." button, select 'download'
